Absence Quota record duplicacy in 2006

Dear Experts

We have two quota which is generation through RPTQTA00 based on selection period 1 jan to 31 Dec.

But the problem is, when due to any reason if someone again run the report RPTQTA00 for the same pernr the new record created in 2006, which is why the quota value increased abruptly.

What should be the best approach to avoid such cases.

=============================================================

Execute tcode SM30. Enter V_503_E in table/view name field and click on display. After entering country grouping, "Employee subgroup grouping for time quota" screen will appear. Note down velue in last column "ESG time quota" against your employee subgroups.

Again go back to main screen of SM30. This time enter V_001P_I in table/view name field and click on display. Note down value in last column "PS grpg Tm Quota" against your personnel subareas.

Now open view V_T556A and for your "employee subgroup grouping" and "personnel subarea grouping" (which you have noted down), locate quota type. Once you find the record, double click on it to see time constraint class.

Again go to main screen of SM30 and enter V_554Y_B in table/view name and click on maintain. Locate infotype 2006 and time contraint class which you have noted in previous step. ChangeReaction Indicator to value E.

/551 & /552

When retroactive accouting occurs, all the difference caused by RETRO are stored in the /552 wagetype in the current payroll.

1. Wage type /551 (Recalculation difference) is a secondary wage type created during retroactive accounting.

EG:-

The employee receives an amount of 100.00 for the period 01/97. When retroactive accounting is run, this amount increases to 110.00. The amount 10.00 is created in wage type /551. When retroactive accounting is run again, the amount is reduced again  to 100.00. This time, wage type /551 is not created since the amount no longer differs from the original net pay.

Combination of secondary wage types /551 and /552 for 'Retroactive accounting'

When retroactive accounting takes place, the system creates wage types  /551 (Recalculation difference) and /552 (Subsequent adjustment from  previous month).The difference between the old net pay (wage type /560)  and the new amount calculated is stored in wage type /551(Recalculation difference) in the payroll period for which retroactive accounting was  run.The amount is then transferred from wage type /551(Recalculation difference) to wage type /552 (Subsequent adjustment from previous  month) in the original period. Both wage types are stored in results  table RT at the end of the payroll run, wage  type /551 with its +/- sign  reversed.

2. Wage type /552 (Subsequent adjustment from previous month) is a secondary wage type created during retroactive accounting.

If there is an retro for an employee in which the amount changes due to any effect these wage types will be created in RT. However, it is not advisible to delete cluster or put some retro date so that the retro effect wont happen... if there is a pay rise for an employee, then that amt will also be seen in /551 wagetype.
